Job Description

The Customer Service Representative will support the Reflective Solutions business by providing customer service to assigned customers and accounts. This position will manage accounts in terms of order processing, order follow up, pricing integrity, on-time deliveries and complete order fulfillment. This position will also support other key business areas of Reflective Solutions, and serve as a back-up to the Digital Inks business.

Position Responsibilities:

  • Manages accounts in terms of order processing, order follow up, pricing integrity, on-time deliveries and complete order fulfillment.

  • Provides telephone customer service regarding company's services and / or products.

  • Identifies customers' needs and determines appropriate actions.

  • Promotes and sells the company's products or services.

  • Professionally and effectively coordinates customer complaints with the Quality department, and assists with complaint investigation and resolution. Communicates results back to customers.

  • Uses a computer system to track questions and answers, as well as enters and tracks order status.

  • Negotiates customer product / billing complaints by offering discounts, authorizing returns, requesting returned product testing by internal Quality or other staff and approving replacement orders.

  • Authorizes credit memos / refunds within policy and according to established procedures.

  • Implements account service strategies.

  • Principal liaison with Marketing and Sales for assigned customers.

  • Implements Marketing & Sales programs for assigned accounts.

  • Supports all aspects of service to customers, including, but not limited to: system price investigation, technical and product recommendations and sample department coordination.

  • Initiates and implements initiatives which improve customer service and responsiveness.

  • Coordinates with Logistics and Operations order scheduling.

  • Champions customer needs and follow up on customer inquiries.

  • Provides responsive order management support to customers, including: order entry, expediting and shipment information.

  • Proactively communicates supply chain issues and provides alternatives.

  • Attends technical training seminars.

  • Backs up team members when workload requires.

  • Manages international customers, orders and logistics. Implements account servicing strategies for assigned accounts.

  • Supports all aspects of customer service, including: color match requests, pricing coordination, order entry, technical and product recommendations and export documentation support.

  • Customer account system maintenance. Enter and revise ship-to settings, contact enrollment for automated acknowledgements.

Qualifications

  • High school diploma required. Bachelor’s degree preferred.

  • 4+ years of Customer Service or related experience a plus.

  • Good written, verbal and telephone communication skills.

  • Good data entry and organizational skills. Detail oriented and good follow-up.

  • Able to effectively manage many priorities and issues.

  • Understanding of applicable computer systems, such as Microsoft Office, Lotus Notes and function-specific software.

  • Global experience highly desired
