Job Description


The Executive Assistant’s primary responsibility is to provide logistical support and office coordination to Executive Leadership and the organization. Specifically, the position is responsible for providing general office management, meeting and event coordination.

►   Key Areas of Responsibility

  • Provides comprehensive support services to Executive Leadership that ensures a professional, responsive and effective experience with the organization as a whole.

  • Manages complex calendar scheduling. Prioritizes inquiries and requests while troubleshooting conflicts with little guidance; makes judgments and recommendations to ensure smooth day-to-day engagements.

  • Manages mail and email correspondence, calls, and message prioritization, in a professional manner. 

  • Prepare reports, presentations, agendas, and notices, by collecting and analyzing information. Responsible for meeting minutes, resolutions, and their dissemination for staff and corporate meetings.

  • Write and edit various forms of communication on behalf of Executive Leadership.

  • Manages contacts using Google to conduct up-to-date database entry, tracks VIP relations and correspondence; facilitates relationships by familiarizing his/herself with various life events (such as birthdays and other major milestones).

  • Oversee travel program and manages travel arrangements. Becomes familiar with the specific, detailed needs of Executive Leadership and travel partners; creates consistent travel itinerary portfolios for reference and be available during travel times to quickly address any last-minute changes or cancellations.

  • Prepare and process expense reports for Executive Leadership.

  • Manage company’s credit card program.

  • Schedule internal and external meetings including, but not limited to, Board of Directors and subcommittees, project teams, etc.

  • Prepares for meetings including ordering lunch, booking conference rooms, setting up overhead projector or video conferencing units.

  • Uses Microsoft Office and Google Suites to produce materials for internal and external meetings and conferences.     

  • Manages the physical and electronic office filing systems for Executive Leadership.

  • Maintains confidentiality and discretion in all matters that are proprietary. 

  • Various other duties as assigned by management.


►   Key Qualifications

  • B.S. in Management or related field preferred, or an Associate degree and 5+ years’ experience in administrative support as an executive assistant.

  • Talent for problem solving, multitasking, and maintaining workflow under pressure in a fast-paced, high-profile work environment.

  • Experience using Google Suite strongly preferred.

  • Demonstrated expertise to manage multiple priorities, of varying complexity, while supporting several employees in leadership or management level positions.

  • Works collaboratively in a team environment with a spirit of cooperation and as a relationship builder.

  • Excellent written and oral communication skills including the ability to create written notices, edit communications, and conduct presentations.  

  • Displays engaging interpersonal skills including the ability to think and act strategically, provide sound judgment, and provide a positive and energetic attitude.

  • Provides systematic and dependable follow up, as well as a high level of organization and preparedness.

  • Ability to interface well with all departments of the company and to represent the Executive Leadership team in a highly professional manner.

  • Proven ability to maintain the highest level of confidentiality and discretion.

  • Ability to embody and reflect Vestcom’s core values.
