Job Description

Summary:

This position is the receptionist of a busy telephone switchboard and building entry. The individual normally operates without direct supervision; however, there is a supervisor to whom non-routine inquiries and questions can be referred.

Primary Responsibilities:

Activities and duties will vary dependent upon functional area assigned. Activities may include, but are not limited to:

  • Answer and direct incoming telephone calls with a positive, professional demeanor

  • Greet visitors, understand the nature of visitors’ business, and provide appropriate information

  • Maintains front desk security including monitoring cameras and maintaining access control

  • Should have experience operating a busy front desk using professional communication, problem solving and multitasking skills

  • Keep a log of visitors and/or issues visitor passes.

  • Perform clerical and administration work assignments of various kinds

  • Take messages, make future appointments and/or maintain appointment log and team calendar.

  • Maintains and stocks kitchens including preparing tea and coffee, loading/unloading dishwashers and general cleaning

  • Backs up Facilities Mail Technician duties including Mail room, Xerox and other facility related support

  • Maintains facility work request system, opening, assigning, and closing out work tickets

  • Serves as a member of the Corporate Emergency response team to support emergency response preparedness for 207 Goode general building, security, or fire emergencies, including participation drills and quarterly preparedness meetings. ​

  • Excellent computer skills including Microsoft Office and Google Mail, Calendar, Drive etc.

Qualifications

MINIMUM REQUIREMENTS:

  • High School Diploma or equivalent, College degree preferred

  • 3+ year’s receptionist, secretarial, customer service or related experience.

  • Light lifting may be requirement - up to 40 lbs

  • Strong written, telephone and oral communication skills

  • Strong organizational, administration and customer service skills

  • Accurate typing, spelling and grammar skills required.

  • Understanding of applicable computer systems, such as Microsoft Office, Google email, scheduling and drive and well as function specific software

  • Skilled in developing correspondence from notes or instructions

  • Strong multi-tasking skills

DESIRED SKILLS:

  • Knowledge of basic Real Estate and Facility Management terminology and procedures, role will assist Real Estate and Facility Management as needed, relieving them of administrative detail including invoicing, expense reports, scheduling

  • Previous security experience in a professional corporate setting, for example: watching for unwanted visitors, monitoring company assets and communication of potential threats to others as needed
